Softball
One association, two kinds of season.
Rec and travel run side by side out of the same board, the same fields and often the same families. The rec side wants a low price and no friction; the travel side wants tryouts, a bigger fee spread over months, and a roster that is settled early.
Three things that bite in softball.
- The same family registers a rec player and a travel player at once.
- One checkout for the whole family across different forms and different prices — and the platform fee is charged once for that checkout, not once per child.
- Age-group eligibility, and the player who should play up.
- Eligibility windows by birthdate, with play-up handled as a recorded exception rather than a text message somebody remembers. Document proofs get reviewed and cleared in one panel.
- A $900 travel fee is a decision, not a payment.
- Payment plans with a deposit at checkout, installments charged automatically, retries and reminders when a card fails, and a family portal showing exactly what is left.
Rec and travel are one association here, not two systems. Plenty of softball associations run a community league and a travel program with different fees, different calendars, and the same exhausted board. Both live in one place: rec families register and pay in one family checkout, travel families get their spots through roster offers after tryouts, and the treasurer reconciles one set of deposits instead of two platforms' worth. Play-up and play-down requests are handled as rules with an exception process, not as favors argued in email threads.
The tournament weekend runs on volunteers, and the volunteers are tracked. Host weekends eat shifts — concessions, field prep, gate, scorebook table. Publish the shifts with the tournament, let families claim them from the portal, and watch each family's requirement fill in real time. Families who can't make it buy out online at the price your board sets, and that money lands in the same books as registration. No clipboard audit in August.
Payment plans fit how travel families actually pay. A travel fee that lands all at once in March loses players. Acceptance of a roster spot can start a plan — deposit now, installments charged automatically — so the commitment is real in March and the family's budget survives it.
Worked fee example (illustrative)
Illustrative example — fees are representative, not a specific association's: a family with two players at a $325 average fee pays $650 in one checkout:
- By card:$650 × 3.5% + $3.95 =$26.70
- By bank:$650 × 1.8% + $2.49 =$14.19
In most associations the bank number is the more interesting one: steering families to pay-by-bank — which every checkout screen does, in dollars — roughly halves the processing cost of the whole season.
The rest is the same for every sport.
Registration and payments, payment plans, teams and roster offers, scheduling, communication, volunteering, equipment, your store, check-in at the door and reports — one flat $750 a year, with no size tiers.

Questions softball boards ask.
- Can rec and travel registration open at different times?
- Yes. Each program has its own form, fees, capacity, and dates — cloned forward season to season — while families still check out once per household.
- A family has one rec player and one travel player. One volunteer requirement or two?
- However your policy reads. Requirements are set per family (with program-level settings where an association requires more from travel families), and hours, buyouts, and fulfillment track in one family balance.
- How do play-up requests work?
- Level eligibility runs on birth-window and grade rules you set. A family that doesn't fit can file an exception request from the registration flow instead of lobbying the registrar — the board decides, and the decision is on the record.
